How the Budget Math Works
Per-person baseline. Each event type has a typical per-person cost (BBQ $22, Birthday $35, Wedding $150, Picnic $14, Corporate $80, Graduation $45, Anniversary $40). We multiply by your guest count, then by your quality multiplier (0.7× casual to 1.8× luxury).
Category split. The total is split into 5 categories by event type. A BBQ is heavy on food (55%) and light on decor (5%). A wedding is heavy on venue (40%) and food (25%). A picnic is heavy on food (45%) and light on entertainment (5%).
Per-person cost. Total ÷ guests. Compares against your baseline (per-person target). The verdict pill turns green if you're under budget, blue if within 5%, red if over.
Recommended quantities (BBQ). 0.5 lb meat per adult + 0.4 lb for mixed crowds; 4–6 side portions per person; 1.5 drinks/hour for first 2 hours then 1 drink/hour after; 1 dessert per person; 1 lb ice per guest for a 4-hour event. The shopping list scales these to your guest count.
💡 7 Pro Tips for Outdoor Events
- Buy ice last, in two batches. Half at T-24 hours for coolers, half at T-2 hours for serving. Melted ice is the #1 cause of warm drinks at outdoor parties.
- Have a Plan B for rain. A 10x10 pop-up tent ($80–$150) handles a 70% chance of light rain. For a 50%+ chance, book a covered backup venue (a friend with a garage, community centre).
- Label everything. "Veg skewers", "GF buns", "Peanut-free", "Kids only" — label cards prevent 80% of the "wait, which platter is..." interruptions.
- Set a 4-hour hard stop. Most outdoor events peak at hour 2 and trail off after hour 4. Plan food drop for hour 2, dessert at hour 3, and have a clear "wind down" cue at hour 4.
- Bug spray + sunscreen stations. Place two small caddies at the path in/out. Saves you answering "where's the bug spray?" 14 times.
- Sound carries — neighbours notice. Keep music at conversational volume after 9 PM. Add a "music off" line in your day-of checklist for 9:30 PM.
- Photo corner pays for itself. A simple backdrop (bedsheet + string lights) + a phone tripod gets 200+ candid photos. Guests share them, you keep them forever.
❓ Frequently Asked Questions
How much does a summer party cost per person?
Per-person costs vary widely by event type. A casual backyard BBQ runs $15 to $30 per person. A picnic is $10 to $20. A birthday party is $25 to $50. A graduation is $30 to $60. A wedding is $80 to $300. A corporate event is $50 to $150. This calculator picks a default per-person cost for your selected event type and lets you adjust live — it splits into food (45%), drinks (20%), supplies (15%), decoration (10%), and entertainment (10%) by default.
How much food per person for a BBQ?
The standard rule for a backyard BBQ: 0.5 lb (225 g) of meat per adult (or 0.4 lb for mixed meat/veggie crowds), 4 to 6 side-dish portions per person, 1.5 drinks per hour for the first 2 hours, 1 drink per hour after, and 1 dessert per person. For 30 guests that is 15 lb of meat, 120 sides, ~90 drinks for a 4-hour party. The calculator uses these ratios to size your shopping list automatically.
What if it rains on my outdoor event?
The weather widget shows historical averages (avg high temp, rain probability) for your date and city, so you can see the typical climate risk. For a hard rain contingency, the most common move is to rent a 10x10 or 20x20 pop-up tent ($50 to $250), confirm a covered backup space (a friend with a garage, a community centre), or shift the date by 1 to 2 weeks. The day-of checklist reminds you to check the 24-hour forecast the morning of and have a wet-weather plan ready.
When should I start planning a summer party?
For a casual BBQ or picnic, 2 to 4 weeks ahead is enough. For a milestone birthday, 6 to 8 weeks. For a graduation party, 8 to 12 weeks. For a wedding, 6 to 12 months. The 8-week, 4-week, 2-week, 1-week, and day-of checklists in this planner are time-boxed to your event date and flag the right tasks at the right time. Open the 8-week tab right after you set the date and work backwards from there.
What should be on a party shopping list?
A solid outdoor party shopping list covers: food (meat, buns, condiments, sides, fruit, dessert), drinks (water, pop, juice, alcohol, ice — plan 1 lb of ice per guest for a 4-hour event), supplies (plates, cups, napkins, cutlery, serving utensils, trash bags, recycling bags, foil, cling wrap), decoration (tablecloth, balloons, banners, candles, flowers or centrepieces), entertainment (music, games, speakers, batteries, matches/lighter, bug spray, sunscreen), and contingency (tarp or pop-up tent, extra chairs, first-aid kit, hand sanitizer). The shopping list tab here auto-generates based on your guest count, event type, and budget.
